Minutes from the 17 October, 2004 DiscNW Board meeting.

  • Meeting opened at 7:20pm. Minutes recorded by Mike Keran.
  • Attending: Chris Burke, 'Bunny' Bartram, Wilma Comenat, Barbara Gordon, Dave Dreher, Barney Ahouse, Janna Hamacker and Mike Keran. Absent: Eric Mattson, Jessica Dorr, Mike Mullen, and Jim O'Donnell.
  • Previous month's minutes were approved.
  • ED Report: (submitted to the board before the meeting via email)
    • (Update) Manzell Blakely has been selected to take over the position of webteam manager. Although he recently moved to Portland, both Wilma and Jacob believe that he will be able to do the job remotely as he will be in Seattle every few months and we can schedule meetings around these visits.
    • Youth committee meet for the first time and finalized the spring 2005 schedule and discussed the breakdown of responsibilities within the committee
    • We have teamed up with SYSA to host the first annual youth Holiday Cup on Nov. 20-21. Proceeds will go to FAF. Kids grades 6-12 will play both ultimate and soccer regardless of their skill level. Doug Baker has volunteered to help organize.
    • I have outlined a plan for clinics in 2005 (see attached). I obtained a list of coaches in the area from the UPA. I emailed this plan to the coaches for feedback and for their availability to coach these clinics. I will be working on getting field space over the next few months and also finalizing this plan. The plan is to market these clinics to the general public as well as within our membership.
    • I met with Colleen O'Rollins regarding sponsorship and grants. We went over the sponsors/grants work she did for DiscNW two years ago.
    • A high school kid has volunteered to gather info for me. This includes school contact info (PE teachers/ADs). I'll also be asking her to get media contact info (newspapers, TV, radio).
    • I'm STILL waiting for a copy of our new insurance policy so we can decide on whether we need the additional D&O insurance.

  • The Board and ED discussed some sponsorship opportunities that have come up recently.
  • The Board, without the ED present, discussed review, vacation, and leave policy for the ED.
    • Agreed on a formalized review process to be lead by a review committee chair.
    • Suggested starting with 6 vacation days plus two personal days per year.
    • Additional paid vacation days could be tied to performance or length of employment.
    • Final approval was tabled until all board members could provide input.
  • Youth committee report initial meeting (Dave Dreher)
    • Six subcommittees/coordinators were approved for the following areas: fields, leagues, tournaments, volunteer, communication, and programs.
    • Finalized a schedule for all youth events for spring 2005.
  • Annual board meeting: 20 Nov following the fall hat/team league finals.
    • Chris Burke to handle logistics. Barney to run the show.
  • Fields committee goals (Chris Burke)
    • Shorter term goals:
      • Develop a database of all fields suitable for Ultimate in the Seattle metropolitan area. Using this database, create tools for use by the Ultimate community, including but not limited to: maps on the website; field finding tools -- for instance, "list all the field turf fields;" a way to keep track of field projects around the area.
      • Develop a "field-finding team." Have one person per suburb who is the point of contact between DiscNW and the field owners in that suburb (Parks department, school district, etc.). The team is coordinated by ED.
      • As our youth and adult leagues expand to the Seattle suburbs, use fields in those suburbs more. Explore use of suburban fields for team practices.
    • Longer term goals:
      • Support the building of more and better fields at Magnuson Park. These fields have been our home historically and should again serve that function when the building projects are complete. Monitor the projects at the Magnuson Sports Meadow and the lit field turf project. Make sure they are Ultimate-friendly. Contribute money from the fields fund or other services to the construction of Magnuson Park fields. Expect the amount of money to be on the order of $250k.
      • Support the development of good athletic fields in general, wherever they are.
      • Seek opportunities to develop fields ourselves. Almost certainly this will be in conjunction with another party, such as a city parks department, a school district, a private landowner, or a developer. Raise money for this effort in our fields fund. Expect the amount of money to be on the order of $250k.
    • Chris mentioned that Shoreline is looking to renovate Shoreline A & B (currently lit, dirt fields which are not in use as much as soccer players prefer FieldTurf fields in Seattle). Suggested this as a possible opportunity to partner with Shoreline P&R.
    • Mike motions to have Wilma and Chris co-write a letter to Shoreline P&R inquiring about a partnership in renovating those fields with FieldTurf. Bunny seconds. Approve unanimously.
    • Mike motions to approve Chris's fields goals. Bunny seconds. Approved unanimously.
  • Discussed possible change in Vice-President and Secretary's position.
    • Chris moves that Mike be elected Secretary with Bunny as a backup. Bunny seconds. Approved unanimously.
    • Mike motions that Barbara be elected Vice President. Janna seconds. Approved unanimously.
  • The board discussed allowing one three-month leave of absence per three-year term for extenuating circumstances (eg: maternity leave, PhD defense, bar exam, or other major life changes). All duties must be handed off to another board member before starting the leave. Barney moves to approve, Barbara seconds. Approved unanimously.
  • Meeting adjourned at 9:39pm.
